Hi April,
at the IMA, we track our accession lots by the source first then department.  So  each source will have their own accession lot per acquisition meeting.  We can acquire art work from the same source over the course of several years.  As for the purchasing, we also have our purchase funds in EMu.  We customized the accession lots to be able to add the fund (which is linked to the Parties) and the data then appears across multiple columns.  I attached an example of what it would look like below.

We have been quite pleased with this as we have been able to create reports that list the total purchase by source, by funds, by accession meeting and by year.  It has really made retrieving information a lot easier and ultimately, my ability to report on the information a lot less cumbersome.  I think this is probably different than what you are asking, but it might give you and idea of what you can do with the accession lots.

We are reviewing the best place to record information such as vacuuming or yearly cleaning of works. Presently we are recording all such information in the conservation module, but we are also exploring whether or not to use the Condition Check for noting such routine maintenance on works.

Thereby allowing staff to go to the catalogue record and note any handling restrictions or check the recommendations for the works without having to jump to other modules.

we too are working on the same information. Currently we have only used a flag in our catalogue module to indicate that the record is part of our NAGPRA works. We recently had a site visit, so we are looking into way to incorporate the information. If you want to email me, we can discuss further.

I would be interested in how you develop the module as well. We are currently using our Narratives for recording artist interviews and have not developed it beyond that. We have been struggling with where to place such information and have decided to test the Narratives for this.

Once developed, do you plan on using the Narratives to push information to the web or use it for internal purposes for exhibitions? We put all of the description information on our exhibitions directly in the Events module and then post for internal use. Curious to see how other institutions are developing the module.

At the IMA, the Registrars for the permanent collection are in charge of tracking our funds for all purchases of art work. As part of this, we have to maintain a funds list that records the current balance as well allocated funds for future purchases.

We have always recorded the funds in an excel spreadsheet. In an effort to get all of our acquisition information into the database, we are starting to use EMu for recording the funds information in the Parties module, which is then linked to the Accession Lot record. We customized the Parties module to include a tab for the funds that records allows us to note the current balance of the fund.

The problem that has arisen is how to track the balance of the funds. Is anyone else using EMu to track their funds for purchases? What about tracking money donated for the purchase of specific works of art or money given for a fund? We are going to have do more customizations in order to get this fully integrated into our database, but were wondering if anyone else is using something similar. How are people using the Funding field on the Purchase tab in the Accession Lots? Thanks for your help.
