Summary:

• Evaluates client/server technology and web-based technologies to plan for future methods of ingesting and extracting data into and from NMAI-CIS. Ensures that web-based applications support meet long-term objectives. Develops report formats requested by users and proactively undertakes report development to satisfy emerging user needs.

We enter Event records to represent stages in the Repatriation process. I gave an EMu Users presentation about it in 2009.  It's available here:

I apologize for the delayed follow-up from the EMu community videoconference that was held in July.  I want to let people know that I have communicated the concerns that were raised at the meeting with Axiell and the plan is to have a discussion at the North American conference.

Many users expressed the desire to have a Google group for open discussion without Axiell representation. I am still working on building a contact list from which people could opt into the group.  But in the meantime, I have created the Google group. If you would like to join, please send me a private message with your email, or you can try signing into Google and clicking on the following link. It should give you the option to ask to join from there:

EMu V4.3 and lower: the Contact Sheet view has buggy paging issues

Hi Karen,
I may be wrong, but I think that Page View will only do one record at a time. However, you could create a Contact Sheet Crystal Report to do what you are asking about. I have attached a sample report that we created here. The field names would be different, but you can copy the structure. The key is to "Format with Multiple Columns" in your Section Expert for your Details section. I also attached a sample of what it looks like.

Further information about discussion and working groups

For those of you who have not attended the past few North American and UK Axiell User Group meetings, there is a separate online Google discussion group about managing Archives with EMu. The group has well over 50 members and is a mix of people who are currently using EMu to manage their archives, and others who are planning to eventually.

A group of eight institutions are also currently collaborating on suggested improvements to EMu for documenting archival collections. I talked about our work recently at the North American User Group meeting in New Orleans. My presentation will be available at the User Group site when they have completed posting them and I recently sent it out to the Google discussion group.

If you are interested in joining the Google group, please PM me here on this forum, and I will send you an invitation. Though it is not a very busy discussion group, it is a place for EMu clients to share questions and concerns about EMu and Archives (and has proven to be a little easier to use than this forum). It will also be one of the first places that the working group shares their ideas for improvements to EMu to get feedback.

How to deal with place names changing over time?

I am curious how other institutions deal with Countries, States, Provinces, and other entities changing names over time. Do you record past names within Site records? Do you create multiple Site records and relate them somehow? How do you deal with this if you record Geographic Names in a text field for archival materials? I am interested in screenshots of what you have done that has worked, or even ideas that you haven't necessarily implemented.

Hi Dave,
At NMAI, we use Linea Pro scanner sleeves (http://lineapro.net/en/home/) with our mobile devices (which happen to be iPod Touches). Our software is a custom built website using IMu. The difficulty with the Linea Pro is that our first run of this application requires a third-party product called iCody to make the connection between the scanner and the device browser. I'm not convinced that there isn't a way around this, but I've had no time to test. Any updates can mess with the how the connection works, so we've had to lock things down to old versions. Not ideal.

One product that we're considering testing instead of the Linea Pro sleeves -partly because they are much, much cheaper- are Unitech bluetooth scanners (http://us.ute.com/products_info.php?pc1 … ;pid=944). They seem pretty flexible from what I've seen and so we're going to purchase one and start testing it out soon.

We use parent-child relationships a lot here at NMAI, so if/when you start creating these records, PM me if you would like any help or tips. We also use the copy/ditto functionality to reduce the amount of data that you need to manually copy.

How are multi-part works recorded within EMu?

Hi Lisa,
Will the parts of these objects ever need to be separated and moved to different locations? If so, separating the parts into parents and children is beneficial so that you can track the locations of the parts separately, while keeping them related. However, if they will never be separated, there really is no need to make more than one record. And you can use the Count field to note how many "pieces" there are to one object.

Is there more that you want to be able to do within one record? Like have multiple descriptions in a grid? If so, you may need customization.

I see from your screenshot that you do not have a Comment field. That's how we deal with it. You can see from my screenshot that the Comment field is only in the Catalogue record. We only have one artist record for each artist, and then the Comment field allows me to make notes within the Catalogue record about that artist, whether it be "Formerly attributed to," "Probably," etc. No need to create multiple records for the same artist.

Hi John,
I can't quite see the jpg example that you uploaded, but I thought I'd show you how we deal with something similar. In our Catalogue module, we have a grid for Artists, and within that grid we have a Comments field.  When we need to add a caveat to the Artist attribution, we put it there.  So in the attached example, we noted that the Bowl was attributed to that person on a particular date.  That way, we aren't proliferating terms like "Probably" or "Attributed to" within the actual Parties module.  We just have one Party record for "Charles Edenshaw."

Now of course, if you use reverse attachments a lot, you will not be able to tell from the Parties module that this particular attachment is an "Attributed" one. But this works if you are mainly concerned about people seeing it from the Catalogue.

You could try something like this for "formerly attributed to." If you do not have a comments field, it should be minimal cost for such a customization.

Seeking information on use of Rights module data fields

Hi James,
I just noticed this post about the Rights module from last year.  We are not using the Rights module in exactly the way that you are planning. But on a very small scale so far, we record copyright terms and then attach them to the appropriate Catalog or Accession records. I have attached a document that describes to the user how to enter them.

We may be making some changes to our process and/or terminology since we have had some staff changeover, but the basic functionality would stay the same.

I will be at the UK conference in April if you would like to talk more about it.

Hi Mark,
This seems to be an ongoing problem with opening .csv files in Excel.  If you make any modification, Excel will strip quotes out of your text even if you resave as a .csv.  I searched around on forums to see if anyone found a solution, and it seems that some people have created macros to export data out of Excel with the quotes (instead of "saving as" which will strip them).  There is even a description of how to create one on the Microsoft site: http://support.microsoft.com/kb/291296/en-us.

I tried that out myself, and with an addition of an If...Then statement to the line in which the quotes are added, I was able to have it NOT quote the data around the first row (column headings) and the first column (row numbers from the EMu export).  So the file looks more like it should, but the problem is that Crystal still will not recognize the data.

I know this doesn't solve your problem, but I thought that maybe it may help if your Visual basic skills are better than mine, or perhaps it will lead you on a path to a solution.

I've gotten around this by selecting "Paintbrush Picture."  When you choose it, Paint will open.  Just close that program and you should have the typical OLE Object box that you always used to get before.

Can you export to the regular Microsoft Word RTF format rather than the Microsoft Word RTF Editable format?  It puts all of the text into text boxes, but I find that it keeps the formatting much better and the text is still editable.

I know this post is a few years old, but I've stumbled upon it while trying to see if this functionality exists.  I agree that being able to pass a user's login name and group to a report would be extremely helpful.  It would allow me to filter data by a user within a report rather than requiring them to filter their records within the query, i.e., user could pull up all records modified on a certain date, and the report would filter out all records except those modified by the person running the report.

Looking for successful Task template implementations

Has anyone been using a Task template for a particular process in their museum?  We would like to utilize the module better, and are currently looking at our Loans process in particular.  I was wondering if anyone who has been using the module would be interested in describing what they have done and sharing some screenshots and/or tips.  It would help us out greatly as we know only the basics about Tasks from the Help module.

Here at NMAI, we customized a second "Biography" tab in the Parties module that includes a long memo field called "Artist's Biography." We will probably be changing the name of this to just "Biography" since we use it for all lengthy bios. We also added a "References" tab that links to the Bibliography module so that we can easily cite this information.

Is the hazard icon triggered by data in a particular field? If so, for the time-being, they could add that field to their list views, so at least the information that triggers the icon will show up.

I am planning a presentation/discussion about entering Repatriation and NAGPRA (Native American Graves Protection and Repatriation Act) information into EMu for the North American EMu Users conference in October. In preparation for this, I would like to get a survey of how museums are already entering this information and the challenges that they face in the process.

If you are *already* entering this type of information, could you please answer the following questions for me?

1. Are you currently entering Repatriation and/or NAGPRA information into EMu? What kind of information are you entering (e.g. claims, statuses, consultation-generated data)?
2. If so, have you customized fields or a created a module to do so? Or have you been entering the information into pre-existing fields?
3. In the process of customizing EMu or entering this information, have you dealt with any difficult questions (e.g. permissions, mapping workflow)? What are they?

I can’t say at this point exactly the format that this will take, but the information that you provide will definitely help to frame the discussion. Feel free to email me personally if you prefer (you can do so at the emuusers.org forum site).

Check whether you can get around this by choosing to have a “Custom Value” on this field. When you choose that, you will get the screen that is attached.

Make sure that “Decimals” and “Rounding” is set to enough decimal places, and “Allow Field Clipping” is unchecked.

Are any EMu Users using scripts or programs to upload and process batches of images? I am interested in learning about what other options might be out there other than the new Import tool. We have just implemented EMu, and we need to do batch processing of images on a regular basis.
