Hello all, A few users at the Canadian War Museum were wondering if anybody is using Narratives to capture correspondence with external clients – either for general inquires into the collections, object specific questions, and possibly even acquisition offers.    If you do use this module for this purpose, do you have any advice, possible documentation on how it’s to used this way i.e.  main fields of entry, and would you mind providing some screen shots?     Some of the inquires they receive about the objects are the same, and they are looking for "spot" to put their answers to refer back to.

As part of our research into the role of librarians/information scientists in museum cataloging, we would appreciate your help in developing an understanding of museum cataloging practices, including what is meant by cataloging and who is currently doing this work.

If you are a registrar, collections manager, cataloger, or other person with responsibility for documenting/cataloging collection objects in a museum setting, we  would be grateful if you complete the linked survey by Wednesday, August 15th.

A tool to instantaneously add records to a nominated Group name

Please note that if you're using this method to create a new Group (open Groups module and create a new record), you need to set the Module field on the Group tab to the module where your Group records are coming from before you can drag records to the Static tab. For example, if you'd like to create a group of Catalogue records, set the Module field to ecatalogue.

Hi Mark, 
We also have naming rights to gallery spaces.   We don’t have the Rights module linked to Locations.   I think I have a suggestion for you loosely based on something we are doing that could work. 
Along with a Location record, we currently have some of these named gallery spaces as a Party Record to be used in Events for “Venue Name”.  For instance there is a Location record for “McCrae Gallery” where the objects get linked to when moved there, and there is an organisation Party Record for “Lieutenant-Colonel John McCrae Gallery” that is used in an Event record for an Exhibition or Program, in the Venue Name field. 
This is not something we are doing...  But how about using the Events Module to record this info?   You’d have a record with an event Type: “Funding”; put your donor information in “Funding Associations” field, use Venue Information for the named gallery space with start and end dates for the naming rights; and whatever else that needs to be recorded.   It may not be perfect but it’s something that could is some ways cross reference the 2 sets of information.

Hi Mark,

Thanks for your reply.  The benefits of creating one lot outweigh the creation of multiple lots for us.  I think our Registrar would go batty if she had to create multiple lots for one acquisition!  I’ll post this on the wish list – one can always dream  :)

Hi Mark,
I realize this is an old post, but did you end up do anything tricky with the two d-bases?  This may not be what you are looking for in your original post, but….Our Development Department also uses Raiser’s Edge, and every year they go through our artifact donors to do mass mail outs.  They do come to us with certain search criteria, i.e. donation between certain dates, acquisition methods, etc.  We give this list to them in excel which they merge with other “lists” they have, and use an outside company to consolidate them and prepare their mail outs.
Also on a similar note with regard to naming rights, we have artifacts that fall under this.  We create a Rights Record for a Credit Line and attach them to catalogue records.
Other than that, we don't keep this info in EMu.

Cataloguer – Canadian War Museum

Would anyone be having problems with the way Valuation Details on the Purchase Tab of the Accession Lots Module is designed?  At the Canadian War Museum, our lots cross different departments, each department then gives values for their lot of items.   The way it is designed now, currently only one entry is available for entry.    I then have to add any extra valuations/appraisal in the Valuation notes Field for the Accession Lot.  This is not an ideal situation and can never truly generate a report or calculate the total Values for a lot.
I would like to see this changed, (similar to the way the Finance Tab is set up):
i.e.   Valued By (party record)       Description         Date Valued      Valuation Amount
        Brown Appraisals               paintings (4)       2011/10/09        600.00
        Black, Anne                   documents (10)      2011/11/04        200.00     
                                                     Total Valuation Amount: 800.00
The  Total Valuation Amount would automatically add the figures.
Does anyone else have a need for this? Or have found an alternate way of handling this type of data?  I should mention that we do enter the values for the individual objects on the catalogue records, but can't do this for our archives collection as they are catalogued in another database.

Sorry Mark, I haven't gotten back to you on this...   In the Rights module, we use the Right Type field and use the term "Credit Line", then what the credit line is, is inserted in the "conditions" field.   If you'd like I can put you in touch with our Registrar if you have any further questions.

Documentation Officer at Qatar Museums seeking advise

The documentation officer at Qatar Museums is seeking advise from experienced EMu users. Her question is related to bibliography records. Her query is:

"I would like to know how they (Large organizations responsible of various museums) have their Bibliography module security set up, if ALL users/groups can view records, or view and edit records. I need advice from a national complex organization, where different departments might not be in the same buildings etc as we have here. I just want to see what someone else does so we can consider this in our options"

Hi Aaron,
Thanks for your response, but I’m not afraid to admit it’s beyond me.   Currently for the page view, I use a template where all I have to add is the emu column name.  All other coding in xml is Greek to me.      I’m basically looking for a simple fix i.e.: File/Save as….  :) .   Many of our users have been using the page view as a report and just printing it, because they see it as an option in their report list.  If one has to do what you are suggesting, it really isn’t that practical or user friendly; most just want to “drive the car” and not be the “mechanic” to fix it too.

Hi April,
Since your report is openning up in Internet Explorer my assumption that it could be a .html report. The report file should be in the following location

C:\Documents and Settings\X\Local Settings\Temp

where:
X is your account user name in Windows, and
C: is the name of your local hard drive

Your .html report will be in the end of the Temp folder, if your right click on the .html file you can choose to open the file in Word and save it.

As far as I know they have done the record creation themselves. Although it is possible to perform  an upload of a certain Getty providing one is available.

I’d like to use a Page View as a report and be able to save it.   Currently when running a page view as a report it opens from me in Internet Explore 8, and I’m unable to save it to send out to clients.  Does anybody have any suggestions?

I have just consulted Laura Phillips who used to work in Bristol's Museums, Galleries & Archives about the Gazaetteer Module. Laura told me that in Bristol they used the Gazetteer as a a repository of geographical data making it a reference module.

Hello,
I was wondering if anybody is using the Gazetteer Module.  If so, what have been your experiences/ thoughts on it?     Are you using it as a stand alone reference, or do you have it linked to a field in another module i.e. Sites, Catalogue?   Did you populate it from an existing Gazetteer, or data from other fields in the d-base or a combination of both?    How do you handle historic names, do you have them in one record, or have you created separate records and associate them together?      Any thoughts would be appreciated.

Web editing of EMu data, especially for Macintosh platform

Hi John,

Both the Whitworth Art Gallery in Manchester and the Egyptian Museum in Cairo use Macs.

The Whitworth Art Gallery have been using Windows Terminal Services for about 10 years. They have a Linux server.

The Egyptian Museum have been using Parallels for the past two years.

Hi Mark,

To get all type of images to display, try putting a maximum resolution in the Multimedia tab of the Report properties dialogue box (e.g. Height 150, Width 150). This will make the page view use a resolution close to those specifications (so it should use the .jpeg instead of .tif).

Hello,

I’m looking for help with the Page Views and was wondering if anybody has any xml templates they are willing to share.   XML is beyond me;   I currently use one template, where I only have to add the emu column names to.  In most cases this template meets our needs, however not on more complex page views that are needed for some users.  I’m trying to do one now from the Events Module with fields from the attached objects that includes a multimedia image for the object.    Has anybody done this type of page view?
