Location Hierarchies in Lookup Lists Module

Does anyone have any information about the Used option in the Admin tab of the Lookup List module? Particularly in relation to "Location Hierarchy".

We are currently cleaning up the data used by the locations module and have some 'dirty' locations which need to be kept as they are used by the Movement History/in the Internal Movements module. However, we don't want the locations to be visible when relocating an object OR when creating a new location. A solution seemed pretty obvious: find the Location Hierarchy records for the 'dirty' locations and set Persistent=No, Hidden=Yes and Used=No. I did a quick Import/Export and the data as it should be except it is not functioning as expected. Some of the 'dirty' locations are no longer visible when relocating an object and some are. There appears to be no logical reason for why some are visible and some are not. I have tried logging in and out of the system but this has no affect.
Any ideas?

Hi Liz,

The lookup lists in the Locations Module are in a hierarchy. So for example if you have:
Building 1 -> Store 2 -> Shelf 4
In the lookup lists module, you will also have entries for:
Building 1
and
Building 1 -> Store 2
So if "Store 2" is the entry you want to hide, you will need to set all lookup list records in which it occurs to be Hidden.

Hiding the lookup list entries will only remove the terms from the lookup lists in Insert mode. They will still appear in Query mode, and the records containing the terms will still be available for people to link to.

To hide the records containing the terms pending clean up, you should use the Security tab in the Locations Module. Set the records that you want to be unavailable so that only your user, or an Admin group, can Display them. This should prevent the records being visible to anyone who is not added to the Security tab.
