"Quick Group" request from user

"Quick Group" request from user

A user here reckons she'd love to have a tool that allows her to work her way through a list of records (while viewing the Details screen), and click a button to instantly add the currently displayed record to a nominated Group Name.

I agree with her that this would be a very useful tool when you have to go through selecting records, based on what details you are focusing on.

Perhaps this could be a toolbar button/textbox.

Hi Karen,

I agree with you and your colleague that it is quite laborious adding sporadic records to a group - having to click Tools--> Group-->Current Record-->Add ....for each record is a lot of clicking.  Having a single click operation would be much more efficient.  Obviously, you can select (ctrl-F8) the disparate records as you encounter them and then run the Tools--> Group operation on 'selected records'.

An alternatively suggestion that would be equally as useful is if you could drag records from your working Module into the Static Grid of the Groups Module.  This currently isn't possible, and I guess the reasoning behind this is to prevent the attachment of records from multiple modules to a single group - which clearly doesn't make sense!!  If there were some way of adding a validation check between the record trying to be attached against the value in the Module field on the Groups Tab, then perhaps KE might consider this as a future development..??

Hi Dave

I asked the user if she had a problem with selecting all the required records one by one, before adding them to the group and the problem she has with this method (and me too, come to think of it) is that every now and then, something happens - either an errant click of the mouse or an accidental window closure... requiring reselection of the the records, which can be difficult if deliberation was also part of the selection process.

I definitely like the idea of validation so that users could at least drag items straight onto a group... this is how the Thesaurus module works... it stops the user from attaching terms that do not belong to the correct hierarchy... so I imagine the programming for simple validation of group attachments couldn't be toooo complicated.

.... But I think an "instant-attach" button would be even better!

What about a lookup list in a toolbar with an add button? You choose a group from the lookup list (so only groups for that module available) then click the add button to add current or selected records to that group? (mockup attached)

Might depend a bit on screen/window size - but so would the usability of the drag-to-group-window method, right?

I recall this statement....  guess that what comes of responding before the caffeine's kicked in. D'oh!!!    ;)

This is possible and CLEARLY there is validation in place.  So providing you have real estate on your monitor, this might be the best option for your colleague in the short-term.

Nice one, Dave!

Please note that if you're using this method to create a new Group (open Groups module and create a new record), you need to set the Module field on the Group tab to the module where your Group records are coming from before you can drag records to the Static tab. For example, if you'd like to create a group of Catalogue records, set the Module field to ecatalogue.

I just tried this - but no dice. The icon doesn't change when I drag over the static field.

Not a game changer for us - we don't give our general users access to the Groups module, as we have a hard time with users making movement and exhibition changeover lists in Groups, instead of in Movements of Events like they are supposed to.

Hi Mark

This is something that only certain groups here can do... but it should be working for you.... did you nominate the module before trying to drag the other-module records across?
If the icon isn't changing, this is the most likely explanation.

Yeah - Group yype = Static, module = ecatalogue, group name entered. But icon remains the little circle with the line through (a la no smoking sign). Odd..

scratch that. There was a single group where someone special (*ahem* me) typed in ecataloque rather than ecatalogue as the module. I was choosing the ecataloque entry for the static group drag/drop. Chose the correct lookup ecatalogue and drag/drop worked fine.

In that case, perhaps operations and/or column access need to be updated? I only got the 'no smoking' sign when i hadn't nominated the module.

Yeah - I was using a mis-typed module name "ecataloque" rather than the correct "ecatalogue" - q instead of g. Works fine with the correct module selected.
